The event map checklist
Guests decide how an event feels in the first five minutes: finding a spot, finding the door, finding the restroom. A clear map handles all three, and it cuts down on the "where do I go?" questions your volunteers answer all day.

Parking and arrival maps
For outdoor events, most confusion happens before guests reach the gate. Start with a satellite view so the map matches what drivers see. Name each lot the same way your signs do, mark accessible parking closest to the accessible entrance, and keep rideshare pickup away from the main walking route. A dashed green arrow from the lot to the door answers the most common question on its own.
Floor plans for indoor events
Venue floor plans are drawn for builders, not visitors. Crop out everything guests don't need, rotate the plan so the entrance sits at the bottom, and try the clean black-and-white style so your colored booths and icons stand out. Number booths in the order people walk, starting from the entrance, and add vendor names so the directory prints itself.
Sharing your map
- Email and registration pages: attach the PDF, or add the PNG image to your confirmation email.
- Social media and group texts: the PNG image is sized for sharing and stays sharp when zoomed.
- On site: print a few copies for the check-in table and your volunteers, and tape one by each entrance.
- Next time: download the project file so you can update the date and vendors instead of starting over.
Printing tips
- Use landscape for wide venues and parking lots, and portrait for flyers with lots of event info.
- Slide Fade background to 30–50% before printing. Icons stand out more and you'll use far less ink.
- Print one test copy in black and white. If you can still tell the icons apart, your map works for everyone.

Is Easy Event Map really free?
Yes. Both tools are free to use with no account, no watermark and no limit on how many maps you make. The site is supported by ads.
Do I need to create an account?
No. Your map saves automatically in your browser, and you can download a project file to keep a backup or move it to another computer.
Is my floor plan uploaded anywhere?
No. Floor plans are opened and edited entirely in your browser and never sent to our server.
What map does the venue tool use?
High-resolution satellite imagery and street maps from Esri, with place search from OpenStreetMap. Unlike many map services, the imagery can be printed and shared for your event with the credit line included.
How do I print my event map?
Choose US Letter or A4, portrait or landscape, then click Print. You can also download a PDF to email or a PNG image for social media, texts and websites.
Are the auto-written directions accurate?
They're a starting draft based on nearby roads from OpenStreetMap and the parking and entrance icons you placed. Always check road names and turns, and edit them before printing.
Does it work on phones and tablets?
Yes. You can pinch to zoom and tap to place icons. For detailed floor plans, a computer with a mouse is the most comfortable way to work.
