How to make an event floor plan map
Venues usually have a floor plan, but it's drawn for architects, not guests. Easy Event Map turns it into a map people can actually use, with booth numbers, a vendor list and clear icons, in a few minutes.
- Upload the plan. Use the PDF from your venue coordinator, a screenshot from their website or a straight-on photo of the printed plan.
- Straighten, crop and clean it up. Rotate it so the entrance is at the bottom (that's how most people read maps). Crop out title blocks and extra rooms. Try Clean black and white for scanned or yellowed plans.
- Add booths and tables. Drag to draw a booth and the number counts up automatically. Set a prefix like "A" for rows (A1, A2, A3…). Click a booth to add the vendor name.
- Mark what guests look for. Stage, restrooms, exits, first aid, food, bar, registration, elevators and "You are here."
- Print with a directory. Vendor names you add to booths print as an alphabetical, numbered directory under the map.
Great for
- Trade shows and expos: numbered booth maps with an exhibitor directory
- Craft fairs and farmers markets: vendor layouts you can update each season
- Weddings and galas: table layouts for the seating chart display and your venue team
- Conferences: session rooms, registration, coat check and sponsor tables
- School and church events: classroom fairs, fundraisers, open houses and rummage sales
Floor plan tips
- Number booths in walking order. Start at the entrance and snake through the aisles, so guests can find booth 24 by counting.
- Leave the fire exits clear and marked. Many venues and fire marshals require exits and extinguishers to be shown on posted maps.
- Save a project file. Next year, open it, change the names and print. There's no need to start over.
Easy Event Map is a planning and wayfinding tool, not an architectural or code-compliance drawing. Confirm capacity, exits and accessibility requirements with your venue and local fire officials.
